Be respectful

Hello,

I recently noticed rubber bands hanging on some of the flags, particularly the ones behind the desk.  This means that one of you or many of you were shooting rubber bands or allowing patrons to shoot rubber bands at the flags.  This is incredibly disrespectful.  Stop.

Renovation Continued

Hello,

The first part of the renovation behind the desk has been completed and now they will be replacing the reserves shelves.  I have placed all of the reserves on the new shelves, the I-Share items are still on the carts in the back.  Please place all returned I-Share items on June's desk for the time being.  I have hooked the printer back up so that should work.  As well as you can see that the rulers, scissors and headphones are in the middle shelves area, just place the ID on the corresponding shelf when a person wants to use one of the items.

Wire cutters

Hello,

Whoever has been using June's wire cutters to cut the plastic strips around the paper boxes, please stop.  There are scissors on the shelves above the paper boxes for you to cut the plastic with, use those.  Those wire cutters need to stay where they are and you don't seem to be able to put them back where they belong.

Where everything else is

Hello,

With the renovation at the desk we had to move a few other things.  The headphones, scissors, ruler and faculty/staff pick-up bin are all on the reserve shelves.  The video desensitizer is by the regular book desensitizer.  When you want to desensitize a video please place the desensitizer on the desk and desensitize it there, NOT down by the regular book one.

They will be doing work on the back desk area of the information services desk.  We have temporarily put all I-Share items on carts in the staff room.  If you have a patron come in and want their items they requested just go back to the carts and find their books by their last name.

End of term matters

The end of the term is rapidly approaching!  Please complete the following instructions as we prepare schedules for Finals Week and Winter Term.

1.      FINALS WEEK - All students are expected to work their regular work schedule through Saturday, November 22nd.  A finals week schedule is being prepared for Sunday, November 23rd through Wednesday, November 26th.  All student assistants are required to sign up to work a minimum of four hours during finals week.  Please see Heidi by 5:00 on TUESDAY, NOVEMBER 11th to sign up for your hours.

2.      WINTER TERM SCHEDULES - All student assistants who plan to work Winter Term will be assigned a work schedule before they leave for D-Term.  (If for any reason you don’t plan to work next term, please let Heidi know right away!!)   The appropriate schedule should be completed to indicate when you will be available to work during Winter Term.  Please complete the schedule carefully and thoughtfully!  Also, remember that any schedule that does not leave enough hours for us to work with when assigning schedules will be returned for revision.  All schedules should be given to Heidi by 5:00 on TUESDAY, NOVEMBER 11th.

Security

Hello,

Recently there have been a few people that have tried to take our magazines.  They have had excuses like they thought they could just take them or they didn't know it was the library's.  No matter what the excuses or the item, if someone walks out the gate with one of our items without checking them our or trying to check them out they need to be written up with an incident report. The staff person or SC on the information services desk is the one to write them up, the student can be the witness.

Please make sure they are written up EVERY time, no matter the excuse.

D-term positions

Oesterle Library has the following student assistant positions available for D-Term:
           
     
FIVE PART-TIME POSITIONS (approximately 20-25 hours per week)
·         Expected to work the following dates:
                                    December 1- December 19

·         Hours will include daytime, evening and Saturday hours

Hours will also be available on the following dates during Christmas Break:
                             
                              December 29-31 and January 2
                              Hours available will be 8:00 a.m. – 4:00 p.m.

Student assistants working these positions will primarily be assigned to the Information Services Desk and/or the Periodicals Desk.  Student assistants may also be assigned to a few hours in other library units.

Preference will be given to applicants that:
-     are able to work all hours and dates
-     have an excellent attendance and work record

Campus housing is available at no extra charge for any student wishing to stay on campus during D-Term (December 1- December 19).  Typically campus housing is not available during Christmas break (December 20-January 4).  Student assistants who have questions about the availability of housing during this time should contact the office of Residence Life.


Anyone interested in a position for D-Term should complete the application form and submit it by Noon on Tuesday, October  28th.

So colds and viruses are going around the college.  Please to be safe wipe down the different desk areas so that you do catch anything or spread germs.  There are Lysol wipes available on the staff side of the information services desk as well as antibacterial hand gel.  Please utilize these items so that illness doesn't spread throughout the staff.

Periodicals Desk Training

Hello,

During the student orientation dinner we mentioned that we would have some more specialized training in terms of working at the periodicals desk and the Tyson center.  That training will be next week.  All student assistants, ASCs, and SCs are all REQUIRED to attend one of the three following sessions:

Tuesday, October 14, Noon-1pm
Wednesday, October 15, 8am-9am
Friday, October 17, 3pm-4pm

If you are scheduled to work during one of these times in Technical Services or Access Services you can attend during that time instead of coming in a separate time.

Please email Heidi (hkpopovich@noctrl.edu) by Noon on Monday, October 13 with your chosen time slot.  If you are not able to make ANY of the possible times please get a hold of Heidi as soon as possible.

Receipt Printer

Hello,

We have noticed that there are interlibrary loan items that are put on the shelf without a receipt.  Does anyone know what is going on?  You need to have a receipt for every I-share item you discharge.  If you are one of the people that aren't getting receipts, please come speak to me.

Sometimes if a receipt doesn't print out it is because your printer is set to the wrong default.  Please go to the start menu and open devices and printers.  Right click over "generic/ text only" and set as default printer.  Discharge the item again and see if a receipt prints for you.

The Illinois Department of Children & Family Services has amended the Illinois Abused and Neglected Child Reporting Act. This new law mandates that all employees of a college or university have the responsibility to report suspected cases of child abuse or neglect. As such, it is now legally required that all College employees (faculty, staff, administrators and student employees) certify their understanding of the mandated reporting requirements.
To increase your understanding of the mandated reporting requirements and acknowledge your mandated reporter status, all student employees must complete the online training listed below and return the Certification and Acknowledgment of Mandated Reporter Status form to Human Resources by October 15, 2014

Shift Coverage

Hello,

Now that there are lot less of you that obviously means there are less people to take shifts.  Please help each other out and take any extra shifts you can.  And just to inform you the rules of working here, you cannot work 7 days in a row as well as you cannot work more than 25 hours a week on campus, 20 hours a week if you are an international student.  So if you have another job on campus you have to keep this in mind if you are taking extra shifts.  Please keep these rules in mind while you are taking shifts.

#BannedBookSelfie

In honor of the American Library Association's Banned Books Week, the library staff and student assistants are participating in the #BannedBookSelfie campaign. Essentially, you pick your favorite banned book from the list using either the Banned/Challenged Classics list or the Top 100 Banned/Challenged list and either find it in our collection or bring your own copy to work with you.

Then we'll snap a picture of you reading your banned book and post it to the library's Instagram/Twitter/Facebook. If you're not following us you can find us on Instagram and Twitter at @oesterlelib and search for us by name on Facebook.

Look at screen while discharging

Hello!

I know that we are all a little fried and that it's easy for things to fall through the cracks but PLEASE remember to look at the screen after every item is discharged before scanning the next item.  I have a had a handful of people come in saying they returned books but they were still on the person's account and it turns out they were right.  Please be sure to discharge an item, stamp it, resensitize it and put it on the cart IN ORDER!

We are going to start getting a lot of books back and we need them to be DISCHARGED and IN ORDER in the cart.  Don't just throw them on the cart.

Finals week and fall schedules

Your finals week schedules are up on the website. Remember, finals schedule starts Sunday, June 8th and finishes Wednesday, June 11th.

As always, the beginning of Fall Term will be a busy time here at the library. In addition to all of the usual beginning of term activities, we will be busy hiring our new student assistants for the coming year. Therefore, Belinda has created a special schedule that will be for the first two weeks of Fall Term ONLY! (The specific dates of coverage for this schedule are September 15-28.) This schedule will allow us to keep all essential operations going during those first, very busy, weeks of the term. By the beginning of the third week, we will have hired our new student assistants and given them at least some beginning training. You will then begin a more “normal” schedule for the rest of the term. That “week 3 through week 10” schedule will be given to you during the second week of Fall Term.

SCs, please note that your hours will NOT change after week 2.

For the first two weeks, ASCs will be working at the Information Service Desk with the Reference Services Librarian during their shifts rather than in the staff room. We will have just one other student assistant on duty during ASC hours, and that student assistant will be at the Periodicals Desk.

As always, please be sure to see Belinda or Heidi on Monday, September 15th to let us know that you are back on campus and to confirm your schedule. Also, it is very important that we learn of any changes to your availability for Fall Term as soon as possible. If for any reason you decide that you will not be able to work the following schedule for September 15-28, please contact one of us immediately so that we can make other arrangements for these times!

You can find your schedule by going to the student assistant website, click on the student assistant contact information, then click on your name and move the calendar to the week of September 15th.

Access services

Access services students:

From now on if you want an ipad for shelf lister during the day you should try to find me first, then June, Jeanne, Belinda or Aimee.  At night or on the weekends it should be the staff member on the desk or the SC.  They now will be required to be put in the vault after EVERY shift, just so we can keep better track of these things.

Air Conditioning

Hello,

Please, when the air conditioning is on, do not open the doors when it is warm out.  Also, please do not use the space heaters in the lobby when the air conditioning is on.  If you do things like this it causes the air conditioning to go into overload and may cause problems with the system.  Also, it will make the air conditioning even colder in the rest of the building.

I know that the air conditioning can be pretty brutal but please plan for these things and bring layers.

End-of-Term Matters

There are several matters that we must take care of before the term ends.  Please read this memo carefully!


1.            All supervisors will be completing performance evaluations for each of the student assistants that work in their unit.  Your supervisor(s) will meet with you by June 6th to discuss your evaluation.  Please let me know if you have any questions about this process.

2.            We need to know whether or not you are planning to return to North Central and your position at the library in the fall.  If you are returning, please complete a Fall Term schedule as indicated below.  If for any reason you do not plan to return in the fall, please fill out the not returning to Oesterle form to let us know your intentions as soon as possible!

3.            FALL TERM SCHEDULES - All of you who do plan to return to work Fall Term will be assigned a work schedule before you leave for the summer.  That work schedule will be for the first two weeks of the term only.  Priority during that time will be given to covering all night and weekend desk hours, and then daytime desk hours as available.  We will need to hire a large number of new student assistants during those two weeks, and we will be depending on all of you to help us keep operations running while we do that hiring!  Early in the second week of the term you will receive a new work schedule that will be in effect for weeks 3-10.

The form should be completed to indicate when you will be available to work during those first two weeks of Fall Term.  Please complete the form carefully and thoughtfully!  Also, remember that if you submit a schedule that that does not leave sufficient hours for us to work with when assigning schedules, the form will be returned to you for revision!  All forms should be given to Heidi by 5:00 p.m. on Thursday, MAY 22nd.

Adobe

Hello!

We are currently experiencing to Adobe problems where when you try to open an adobe document from the web it says you need to give the certificate permission or something similar, ITS thinks they fixed it.  If you do run into this problem have the patron or yourself go down to the bottom right-hand part of the screen and right click over the Zenworks icon and select refresh.  After that have them retry the adobe document, if that doesn't work, please have me send in a help ticket with that particular computer number.

Applications for Summer Employment

We are now accepting applications for summer employment.  We have several part time student assistant positions available for the summer.  Please note that there will not be any full time positions available.  Campus policy now limits student employees to working no more than 29 hours per week.  To allow for minor adjustments on a weekly basis, our summer positions will be for approximately 20 to 25 hours per week.

FULL SUMMER: June 12 through September 12
* 3 or 4 positions available
* will include daytime, evening and weekend hours during summer term
* will be strictly Mon-Fri during the hours of 8am-5pm once summer term ends (after August 8)
* limited vacation time (unpaid) may be arranged but cannot be taken during the week of September 8-12
* will include Information Services Desk and Periodicals Desk hours as well as assignments in other library units

            SUMMER TERM ONLY: June 16 through August 8
                        * 3 or 4 positions available
                        * will include daytime, evening and weekend hours
* will include Information Services Desk and Periodicals Desk hours as   well as assignments in other library units

           
Housing will be available on campus.  Details regarding campus housing can be obtained from Residence Life.  If you are interested in living on campus, you should contact their office immediately for further information.

Printing from lobby computers

We will no longer be charging for print jobs printed from the public computers in the lobby. This is a trial for spring term only to determine if any potential downfalls of this policy. In the meantime we will be tracking number of pages printed. There will be a clipboard next to the printer behind the ISD. We do ask that you log how many sheets are picked up when someone comes to the desk to pick up print jobs from that printer. Your best estimate is also ok if it's a large number.

We are not advertising this policy change, but I have removed the sign from the public computers. Please continue to encourage any students whom you are helping at the public computers to email articles to themselves if they want to access them later.

ASC and SC Positions Open!

RE: Applications for Student Coordinator and ASC Positions
DATE: March 31, 2014 

We have openings for two Student Coordinator positions, to begin Summer Term. In addition, we have an opening for one permanent ASC beginning Fall Term and two temporary ASC positions for Fall Term only. All current student assistants are eligible to apply for these positions. Please note that length, type and quality of service will be taken into consideration during the hiring process. If you are interested in applying, please read the following information carefully.

The full position descriptions are available on the student assistant website. Applicants should read these thoroughly and address specific work responsibilities in their application letter.

SC POSITIONS: The salary level for an SC is $10.30 per hour. Please remember that SCs are expected to work very specific hours (which include both summer and December Term hours). Student Coordinators are also allowed to pick up a limited number of sub hours for Information Services Desk and Periodicals desk shifts. Specific hours to be shared by the two SCs include:

Academic Terms
Sunday – Thursday: 9-Midnight, Friday: 5-8 p.m.

December Term
Monday – Thursday:  5-9:30 p.m., Saturday: 9:30-4

Summer Term 
Monday – Thursday:4-9:30 p.m., Friday: 4-8 p.m., Saturday: 8:30-1 p.m. & 1-5:30 p.m., Sunday: 5-9:30 p.m.

ASC POSITIONS: There is no increase in salary level for ASC positions. However, as these positions require additional responsibilities, they are a great addition to your resume! When asked to do letters of recommendations for students in these positions, we are always careful to indicate the additional responsibilities and the fact that the student was selected for one of just 3 positions. Please keep in mind that these positions require working 1-2 nights per week, a potential Saturday shift, and a 3 hour shift on Sunday. Assistant Student Coordinators are also allowed to pick up sub hours for Information Services Desk and Periodicals desk shifts. ASC positions do not require summer or December Term hours. Please note that if the persons filling the temporary positions maintain an excellent work record, they will be given first consideration for any future ASC openings. Specific hours to be shared by the three ASCs include: 

Academic Terms
Monday – Thursday: 5-9 p.m., Saturday: 9 a.m.- 1 p.m. & 1-5:30p.m., Sunday: 12-3 p.m., 3-6 p.m., &        6-9 p.m.

Anyone wishing to apply for an ASC or SC position should email a letter of application to both Belinda and Aimee that includes the number of terms you have worked, areas in which you have worked, and reasons you feel especially qualified for the position.

The deadline for applying for these positions is 2:00 p.m. on Monday, April 7. Interviews will be conducted shortly thereafter. As Belinda will be on vacation until the 7th, please do not hesitate to contact Aimee if you have any questions regarding these positions or the procedures for applying.

Bookdrop and mother's room key

Hello!

We now have a key available for the mother's room and the bookdrop.  First people of the day will find the key in the cashbox and can use it on the bookdrops outside.  Always be sure to return the key to it's place when finished using it.  If you lose the key you will be responsible to replace it.

If a patron comes to the front desk asking for the key to the Mother's room you can find the key in the cashbox.  Please take their ID (or something important) as collateral like you would for the headphones or scissors and place the ID in the cashbox.  Once the patron returns the key you can give them their ID back.

This is a totally new policy so you may get questions about it.

Reminder: Substitution Procedures

Hello!

I thought this would be a good time for me to remind you what the rules of subbing are.  First off I want to thank you guys for being so good in taking each other shifts.  It is very rare for us not to get a shift covered thanks to how hard you all work.

When you take shifts you must remember that you cannot work 7 days in a row.  So if you are regularly scheduled to work 6 days a week you cannot pick up an extra shift for that 7th day.

If you are able to pick up a shift that shift is now your responsibility.  So if you pick up a shift and then realize that you can't actually work that date you then have to figure out coverage for it.

When you put a shift up on the website for coverage you must not assume that it is taken care of, you are responsible for that shift until someone else signs up for it.  If you have put up a shift for coverage and no one is taking it please email people to ask them if they can take it.  If you have tried everything you can to get coverage and no one is taking it, you must give me 24 hours notice during the week or if the shift is on the weekend you must give me all of Friday to try to get coverage.

Outstanding student assistant recognition

Hello!

I was recently informed that Seth Gierhart went above and beyond the call of duty for his library and coworkers.  On one of the nights of a snow storm Seth dug out his car and drove his coworkers to the library so they could get there safely as well as keep the library running smoothly.  Here's the kicker, he didn't even work that night!

Thank you Seth for your kindness and generosity!  Although, I do have to say that we do not want any of you putting yourself in harms way to get here or bring people here.

Please take some time to shake Seth's hand and say good job!    YAY SETH!

Finals week reminder

Please remember that you work your regular schedule until Saturday, March 14th and then work your finals week schedule start Sunday, March 15th to Wednesday, March 19th.  If you don't remember what you signed up for it is on your personal schedule on the website.

End of Term

It is time to complete the scheduling process for finals week and for Spring Term: 

1.         All student assistants are required to work their regular Winter Term schedule through Saturday, March 15thALL student assistants must sign up to work a minimum of 4 hours during finals week (March 16-19).  Please see Heidi by 5:00 pm on Thursday, February 27th  to sign up for your finals week hours.


2.         Please fill out your appropriate schedule for Spring Term from this page.  Please complete this schedule and return to Heidi by 5:00 pm on Thursday, February 27th.  Please fill this out thoughtfully, and remember that any schedules that are too full for us to work with will be returned for revision!!  If for any reason you are not able to work Spring Term, please let Heidi know ASAP.

Spring Break Position

Oesterle Library has two half-time student assistant positions available for Spring Break.  The requirements of this position include:
  • Expected to work 4 hours per day (during the hours of 8:00-5:00) on the following dates:
                        March 20, 21
                        March 24-28

IMPORTANT NOTE:  Due to changes in insurance laws, student workers are no longer allowed to work more than 29 hours per week in campus positions.  This includes hours worked in all campus positions.  Therefore, if you are planning to work elsewhere on campus during Spring Break, you may not be eligible for these positions.  Please speak to Belinda before applying.
           
Preference will be given to applicants that:
  • are able to work all expected hours and dates
  • have an excellent attendance and work record

Please note that Residence Life has not yet distributed information about the availability of housing during Spring Break.  If you are interested in working but would require campus housing, please contact Residence Life about this right away.


Anyone interested in applying for this position must submit this form by 5:00 p.m. on Monday, February 17.

Heaters and Plugs

We have had an incredibly brutal winter and I know with people taking shortcuts through the library the lobby gets extremely cold, that's why we have the extra space heaters out there.  If you would like to plug in all three heaters at the desk in order to not blow out a breaker please plug one by the public printer, one by the staff dry erase board and one by the student assistant computer.  The one by the student assistant computer should not be plugged into the power strip but into the actual silver box plug.  If the power strip stops working please flip the switch on the front of the power strip as well as the switch on the side of the power strip.

Germs

Hello!

We are getting into the thick of the flu and cold season.  Please be sure to disinfect whatever desk you are on when you first get there.  There should be Lysol wipes somewhere.  And please be sure to wash your hands.  I don't want any of you to get sick.

If you do get sick, please don't come in and push yourself.  If you feel like you should be laying down, stay in bed.  Just be sure to call us at the library (630-637-5700), don't email me in case I am sick too.

Try to stay healthy and be safe in the snow!

New newspaper check-in policy

Dear SA's,
Please be aware that there is a new policy regarding Sunday newspaper check-in only. On Sundays, please save all advertisements instead of recycling them as you have in the past. When you are finished, please leave all advertisements on Heidi's desk. I will post a sign on the Periodicals Desk as a reminder.

Dewey Decimal System Recap

Hello everyone!  I thought this would be a good time to do a quick recap on the dewey decimal system.

Shelving Items in "Dewey Order"
In the Dewey Decimal System, books are filed digit by digit, not by whole number.  This means, for example, that our book at 595.789/BROC would come after 595.0123 and before 595.9. 

With Dewey decimal numbers, it doesn't matter how long the number is.  Items get shelved in order of the numbers, as if they all had the same number of digits. 

Here is another example - the Dewey call numbers below are in proper Dewey order:

331.0413
331.042
331.1
331.198
331.2

And again, after the decimal numbers come the letters from the author's name (or title).  When two books have the same number, then they go in alphabetical order by the letters.

Here is an example of Dewey order with decimal numbers and letters:

Also, always remember the nothing before something rule, meaning that 823.91 W23 A69s is always going to come before 823.91 W23a

Beginning of Term

Welcome back everyone!
