The Winter Term schedules are up on the website under the student assistant contact page. Just click on your name and move the calendar to the week of January 3rd, the schedules start then. Please be sure to see Belinda or Heidi on Monday, January 3rd to confirm your schedule, and we will handle any problem at that time.

W-2s

Official 2010 W-2 Access through Merlin!

Fast, Easy, Safe & Secure

It’s Official! NCC employees will be able to access their IRS W-2 forms on-line through Merlin beginning with the 2010 tax statement.

This NEW electronic W-2 form provides convenience to employees and furthers our efforts to be a sustainable campus.

In order to obtain on-line access, employees must consent to receive the on-line W-2. The employee’s initial consent is valid for all subsequent years and can only be voided by withdrawing consent or upon termination of employment. With this consent, employees will NOT receive a paper copy. Once W-2’s have been posted to their Merlin account, employees will be able to access their official form online immediately to view or print copies as often as they need them. Tax statements for 2010 and subsequent years will be available with consent 24/7 from any computer with internet access.

Employees who do not consent to the electronic W-2 form will continue to receive a paper form through the U.S. Postal service. Printed forms will be mailed by January 31, 2010 to the permanent address on file in Human Resources. Employees are responsible for notifying Human Resources with any address changes.

Benefits to receiving the W-2 Form online versus through the mail:

· W-2 information will be available 24/7 in an IRS approved PDF format

· Online delivery provides access to your W-2 earlier then paper W-2’s mailed on January 31st

· Online delivery eliminates the chance that the paper W-2 form will get lost, misdirected or delayed during postal delivery, or misplaced once the employee receives it

· Signing up for online delivery is fast, easy and secure, and the employee can change his/her mind and withdraw from online delivery at any time

· “Going Green” not only benefits you for faster service and convenience but also saves cost of forms, postage and trees

Remember, to ensure fast, easy and secure delivery of your 2010 W-2 you must sign up by January 7, 2011.

Phone Responsibilities

Make sure when you are answering the phone to answer with the greeting "Oesterle Library, how may I help you." Be friendly and attentive.

If a person is out of the office, please do not give details about it just say, "I am afraid that they are out of the office." Then offer to transfer them to their voicemail or ask if they would like to speak to someone else. If they do want to speak to someone, please transfer them to Denise, when you do this please say that you are transferring the person to the secretary.

End of Term Matters

The end of the term is rapidly approaching! Please complete the following instructions as we prepare schedules for Finals Week and Winter Term.

1. FINALS WEEK - All students are expected to work their regular work schedule through Saturday, November 20th. A finals week schedule is being prepared for Sunday, November 21st through Wednesday, November 24th. All student assistants are required to sign up to work a minimum of four hours during finals week. Please see Heidi by 5:00 on FRIDAY, NOVEMBER 5th to sign up for your hours.

2. WINTER TERM SCHEDULES - All student assistants who plan to work Winter Term will be assigned a work schedule before they leave for D-Term. (If for any reason you don’t plan to work next term, please let Heidi know right away!!) The form for your appropriate position should be completed to indicate when you will be available to work during Winter Term. Please complete the form carefully and thoughtfully! Also, remember that any form that does not leave enough hours for us to work with when assigning schedules will be returned for revision. All forms should be given to Heidi by 5:00 on FRIDAY, NOVEMBER 5th.

D-Term Positions

Oesterle Library has the following student assistant positions available for D-Term:


1. TWO FULL-TIME POSITIONS (40 hours per week)

Expected to work the following dates: November 29 – December 17

Hours will include daytime, evening and Saturday hours

***Please note: depending on the applicant pool, these positions may be broken down into multiple part-time positions

2. ONE PART-TIME POSITION (approximately 25 hours per week)

Expected to work the following dates: November 29 – December 17

Hours will include daytime, evening and Saturday hours


Hours are also available on the following dates during Christmas Break:

December 20-21 and December 27-30

Hours available will be 8:00 a.m. – 4:00 p.m.


Student assistants working these positions will primarily be assigned to the Information Services Desk and/or the Periodicals Desk. Student assistants may also be assigned to a few hours in other library units.


Preference will be given to applicants that:

- are able to work all hours and dates

- have an excellent attendance and work record


Campus housing is available at no extra charge for any student wishing to stay on campus during D-Term (November 29- December 17). Typically campus housing is not available during Christmas break (December 18-31). Student assistants who have questions about the availability of housing during this time should contact the office of Residence Life.


Anyone interested in a position for D-Term should complete the application form at this link and return to me by 5:00 p.m. on Monday, NOVEMBER 1st.

Filling Substitution Requests

From now on if you complete the "Fill a Substitution Request" for a shift you are going to be held responsible for it. If you fill out the form and find out later that you cannot cover that shift you should fill out the "Substitution Request Form," it is your responsibility to get it covered.

Friday, September 24 through Sunday, September 26 you may have a new student assistant sitting with you during your shift. Please continue your regular work and allow them to watch the procedures at the desk.

Please remember that the mandatory Oesterle Library Student Assistant Orientation will be on Thursday, September 23rd from 4:30-6:30pm.

Fall Term Schedules

As always, the beginning of Fall Term will be a busy time here at the library. In addition to all of the usual beginning of term activities, we will be busy hiring our new student assistants for the coming year. Therefore, I have created a special schedule that will be for the first two weeks of Fall Term ONLY! (The specific dates of coverage for this schedule are September 13-26.) This schedule will allow us to keep all essential operations going during those first, very busy, weeks of the term. By the beginning of the third week, we will have hired our new student assistants and given them at least some beginning training. You will then begin a more “normal” schedule for the rest of the term. That “week 3 through week 10” schedule will be given to you during the second week of Fall Term.

ASCs and SCs, please note that your hours will NOT change after week 2. However, ASCs will be working at the Information Service Desk with the Reference Services Librarian during their shifts rather than in the staff room. We will have just one other student assistant on duty during ASC hours, and that student assistant will be at the Periodicals Desk.

As always, please be sure to see Belinda or Heidi on Monday, September 13th to let us know that you are back on campus and to confirm your schedule. Also, it is very important that we learn of any changes to your availability for Fall Term as soon as possible. If for any reason you decide that you will not be able to work the following schedule for September 13-26, please contact one of us immediately so that we can make other arrangements for these times!

End of Term Matters

There are several matters that we must take care of before the term ends. Please read this memo and all attachments carefully!


1. All supervisors will be completing performance evaluations for each of the student assistants that work in their unit. Your supervisor(s) will meet with you by June 4th to discuss your evaluation. Please let me know if you have any questions about this process.

2. We need to know whether or not you are planning to return to North Central and your position at the library in the fall. If you are returning, please complete your Fall Term schedule. If for any reason you do not plan to return in the fall, please fill out this form to let us know your intentions as soon as possible!

3. FALL TERM SCHEDULES - All of you who do plan to return to work Fall Term will be assigned a work schedule before you leave for the summer. That work schedule will be for the first two weeks of the term only. Priority during that time will be given to covering all night and weekend desk hours, and then daytime desk hours as available. We will need to hire a large number of new student assistants during those two weeks, and we will be depending on all of you to help us keep operations running while we do that hiring! Early in the second week of the term you will receive a new work schedule that will be in effect for weeks 3-10.

The form should be completed to indicate when you will be available to work during those first two weeks of Fall Term. Please complete the form carefully and thoughtfully! Also, remember that if you submit a schedule that that does not leave sufficient hours for us to work with when assigning schedules, the form will be returned to you for revision! All forms should be given to Heidi by 5:00 p.m. on Thursday, MAY 20th.

4. FINALS WEEK - All student assistants are expected to work their regular work schedule through Saturday, June 5th. A finals week schedule is being prepared for Sunday, June 6th through Wednesday, June 9th. All student assistants are required to sign up to work a minimum of four hours during finals week. Please see Heidi by 5:00 p.m. on Thursday, MAY 20th to sign up for your hours.

Security

Hi Student Assistants! We’re asking all of you to take a good look at the orange campus safety bulletin posted by the mailboxes. There will also be copies placed at the ISD and Periodicals desk. If you should see this person anywhere in the library please let someone on the library staff know so we can handle the situation. Please feel free to use the Chat with a Librarian link on the library homepage, as well, if that proves to be a more appropriate mode of communication.

We’re also going to take this opportunity to remind everyone that we have panic buttons at the ISD and Periodicals desk. Please only use these in extreme emergency situations when there is no other mode of communication available, as they ring directly into the alarm system which immediately contacts both campus safety and the Naperville Police. Not that we anticipate ever having to use these panic buttons, but it’s always a good idea to know where they are and how to use them. Please make sure to let Heidi know if you have any questions about this.

Another reminder is that campus safety is always available to escort you back to your dorm or car if you feel uncomfortable walking by yourself at night. And if you ever feel uncomfortable about a situation please don’t hesitate to bring it to the attention of any of the library staff.

Summer Positions

We have four student assistant positions available for the summer:

2 full-time (40 hours per week) positions
* must be able to work from June 10 through September 10
* will include daytime, evening and weekend hours during summer term
* will be strictly Mon-Fri 8am-5pm once summer term ends (after August 6th)
* limited vacation time (unpaid) may be arranged but cannot be taken during the week of September 7-10
* will include Information Services Desk and Periodicals Desk hours as well as assignments in other library units
**These positions may be divided into part-time positions if there is more interest in part-time positions

1 full-time (40 hours per week) SUMMER TERM ONLY position
*must be able to work from June 14 through August 6
*will include daytime, evening and weekend hours

Starting today, there is a display of new juvenile books in the Tyson Education Curriculum Center on a cart. They have an orange dot on the back of the book by the barcode. If you find one of these books, please place it back on the display cart. Do NOT shelve it with the regular juvenile collection.

Elevator

We've had a problem come up a couple times with the elevator where if no one is riding in it, the gate can come open a little, which makes the elevator stop between floors. I just wanted to recommend that you ride in the elevator if you're going to use it because then if the gate comes open a little, you can close it and restart the elevator and we don't have to spend time and money waiting for ThyssenKrupp to come out here. I totally understand though that if you're not comfortable riding it, that's fine too, this is just a suggestion.

Please watch the Periodicals Display Table closely. We have had several incidents of vandalism or things going missing. Throughout the course of your Periodicals Desk shift please get up and go over to that case periodically, check on the items and straighten them. Also look over at the table regularly.

There has been a large amount of books that are being returned and put on the shelves without them being discharged. One of the most important things you do on the desk is to discharge the books. Please remember to do this!

It is time to complete the scheduling process for finals week and for Spring Term:

  1. All student assistants are required to work their regular Winter Term schedule through Saturday, March 13th. ALL student assistants must sign up to work a minimum of 4 hours during finals week (March 14-17). Please see Heidi by 5:00 pm on Thursday, February 25th to sign up for your finals week hours.
  2. Here is a blank schedule for Spring Term. Please complete your appropriate schedule and return to Heidi by 5:00pm on Thursday, February 25th. Please fill this out thoughtfully, and remember that any schedules that are too full for us to work with will be returned for revision!! If for any reason you are not able to work Spring Term, please let Heidi know ASAP.

New Books

We are starting a new program with our New Books. Starting today, the new books will have a green sticker by the barcode. When you are charging these items, do as you would normally do with any other item, charge, desensitize and stamp the due date. When you are discharging these items, resensitize and stamp them like you would any other book and then put them on the shelving cart shelf that has this on it:

















Don't put any other books on this shelf and don't put the new books anywhere else. Please pay attention to these green dots!
